Free Windows Mobile ActiveSync for Mac (Linux)
When I bought my O2 Atom Pocket PC earlier this year I had visions of finally being able to keep fully up-to date. That’s the idea with a PIM Phone. However, given circumstances, I found myself without a Windows PC and hence no access to the Microsoft ActiveSync Client. The only PC I had access to was my partners Mac iBook. This left my phone a little “island in the wind”. I found that there are several options for syncing a Windows Mobile (WM) device with a Mac.
- The Missing Sync
- Windows Emulation/Virtualisation and use ActiveSync
I was reluctant to use Missing Sync as I believe the fewer programs on a computer, the better. Regarding emulation/virtualisation, this wasn’t an option as we don’t yet have an Intel Mac. After a LOT of research I finally stumbled upon a solution that allows me to sync my contacts, calendars, to-do list between OS X Address Book, iCal and our two phones. This method does not require you to install any new software or to pay for expensive services. Inspired by this informative write up on syncing for windows, this article provides an overview of how I achieved my Sync goals.
Requirements
- Apple OS X. This should also work for *nix (Linux, Unix, BSD) based systems but I haven’t tested it.
- Windows Mobile PocketPC/Smartphone (I have only used my Windows Mobile 5 Atom to test this, but there should be no reason why a similar strategy wouldn’t work for other ActiveSync enabled devices)
- Internet Connection
- Hosted Exchange Server. Most of these are expensive, however Mail2Web Live provides a free Exchange Based service that includes Mobile ActiveSync and Outlook Web Access (OWA).
- OWA Connector. Either OS X Address Book, Microsoft Entourage (2004) or Gnome Evolution
A quick few notes about the OWA Connector;
- I am currently using Entourage 2004 with the latest updates as the connector as it also allows me to keep OS X’s inbuilt Address Book and iCal upto date by using OS X Sync Services. This has the added advantage that I can then use iSync to sync my partners RAZR mobile phone.
- OS X Address Book has a built in ability to sync contacts from an OWA server. This will only sync contacts and not calendars etc… There is a commercial add on for iCal that allows you to sync calendars, but I have no experience with it.
- In theory, on a *nix you can use Gnome Evolution that has an exchange connector. Again, without access to a running copy, I have not tested this. If you try it, please let me know if it works.
Step 1 - Setup up Exchange Server Account
The key part of this strategy is to use an Exchange Server as an intermediary store between your phone and your computer. You can use any Exchange 2003 server or choose from the multitude of different companies that provide hosted options. I use Mail2Web Live (http://live.mail2web.com) as they provide a free account that includes the ability to use ActiveSync. The first step is to setup Mail2Web account. Head over to the Mail2Web homepage and signup. Once you have created an account. Go to http://live.mail2web.com and sign in to your account. Note, you will need to enter your username in the form x…x@mail2web.com
Step 2 - Setup ActiveSync
This setup sets up your phone to synchronise itself with an Exchange Server. You can choose to synchronise your notes, contact, calendar and e-mail if you choose. At this stage you can also choose to setup “Push Email” where as soon as an email arrives at the server it is immediately sent to your phone. As I don’t have a data plan for my mobile phone, I can’t comment on how this works, but from my understanding, it just does. Simple as that. The first step is to go to the Mail2Web support page (http://services.mail2web.com/Help/) and log on. Once logged on, click on the link labels “ActiveSync Settings”. This page lists the settings you need to setup AciveSync on your phone. The items you need are;
- Your full username x…x@mail2web.com
- Your mail2web password
- Mobile exchange server address, generally mobile.exchange.mail2web.com.
- User Domain
You can also download a cab file that will automatically configure all the required settings from the same page if you wish. Follow these instructions to setup the Exchange server connection on your WM device. (link) Take particular note of the section entitled “Change the synchronisation schedule” as the default setting will have your phone trying to stay in sync at all times. As I don’t have a data plan, I didn’t want this so set the sync manual. You can also do this from your phone, by tapping “Menu”, then “Schedule” in ActiveSync.
Step 3 - Setup your PC
The last stage is to configure your computer so that it syncs with the Exchange Server you setup in step 1. There are a few ways to do this;
Step 3a - Setup AddressBook.app
For those without Entourage or who have a version other than 2004 you can use Address Book. Address Book has an inbuilt ability to sync contacts with an exchange server. However this method is only able to synchronise your contacts between your phone and your mac. iCal.app is unable to natively connect to an Exchange Server. You can sync iCal.app and Exchange with a third party package called GroupCal http://www.snerdware.com/ but I have not used it. This support article from Apple (link) runs over how to configure Address Book. Use the settings you recorded in step 2 above when you setup ActiveSync on your device. In order to get the sync to work, I had to also do the following;
- Open iSync
- Open the Preferences windows
- Select “Show the sync status in the menu bar”
This will add an iSync logo to your menu bar. With this visible, you can now sync all your contact with the Exchange server by clicking on the icon and selecting “Sync Now”. For a brief introduction to your first sync, see the section below entitled “A Few Notes about Syncing”.
Step 3b - Setup Entourage 2004
After experimenting with Address Book I switched to using Entourage 2004 as the connector between the mac and the Exchange Server. A recent update from Microsoft added the ability to synchronise the Calendar and Address Book with iCal.app and AddressBook.app automatically through OS X inbuilt Sync Services . This ensures that all your details are available for applications like Safari, iChat etc… that are linked to iCal.app and AddressBook.app. The other HUGE advantage of having iCal and AddressBook upto date is that you can then use iSync and iTunes to keep other mobile phones, iPods in sync with your information as well. Note that only Entourage 2004 with the latest updates is able to sync with iCal.app and AddressBook.app. I highly recommend those who haven’t installed these updates to do so. Users of Entourage X will be able to automatically synchronise their devices with their Entourage Address Books and Calendars only. How to configure Entourage
- Go to http://www.microsoft.com/mac/downloads.aspx, download and install the latest updates for Entourage 2004.
- Open Entourage
- Go to the “Tools” menu and select “Accounts”
- From the “New” menu, select “Exchange”
- Click “Configure Account Manually”
- Enter the following settings into the dialog box
- Account Name - You can enter anything meaningful here. I suggest “Mail2Web”
- Account ID - Your exchange server account name. For Mail2Web use x…x@mail2web.com
- Password - Your Exchange password
- Domain - Enter your Exchange domain. For Mail2Web, enter the domain you used in step 2 to configure your device
- Exchange Server - Enter the address of your Exchange Server. For Mail2Web use exchange.mail2web.com
- Select “This server requires SSL connection” tick box Name - Enter your Name
- E-mail address - Enter your preferred email address.
- For advanced users, under the advanced tab you can customise your synchronisation settings.
- Press “OK”.
Entourage will now try to connect to your Exchange Server. If it is successful, you should now be able to view your contacts and calendar in Entourage.
Setup Entourage iCal/AddressBook Sync
If you haven’t done it previously, now is a good time to enable Entourage to synchronise details with iCal.app and AddressBook.app. This site has instruction on how to turn this facility on (link).
Take note to ensure that you select your Exchange Account from the drop down box in step 3 of the above instructions. Otherwise you will be synchronising the wrong information.
Entourage and Mail2Web
Unfortunately, Entourage is designed to connect to a Exchange server using a particular method and at the moment the Mail2Web Live Note Exchange server uses a different method. What this means is that Entourage isn’t able to log directly onto Mail2Web. A simple work around to this is to logon manually via a web browser first. You will then be able to connect using Entourage.
Note. This step is for more advanced users. It requires knowledge of ScriptEditor.
This annoyed me a bit as everything was tantalisingly close to working without any user intervention. To get around this limitation I wrote the following apple script to automatically log on to the Mail2Web server before opening Entourage. This will script should work for any Exchange OWA Server that uses “Basic” authentication instead of the required “Form” authentication. The following steps show you how to create this script;
- Download this script and open it using Script Editor and follow the steps below from “Replace…”
- OR, manually…
- Open ScriptEditor
- Create a new script
- Copy and Paste the following into the new script
set USERNAME to “XXX…XXX@mail2web.com”
set MY_PASSWORD to “XXXXXXX”
set SERVER to “https://exchange.mail2web.com/exchange”do shell script “curl -u ” & quoted form of USERNAME & “:” & quoted form of MY_PASSWORD & ” ” & quoted form of SERVER

open application “Microsoft Entourage”
end try
- Replace XXX…XXX@mail2web.com and XXXXXXX with your username and password. Make sure you leave the talking marks
- Enter the address of your exchange server. If you are using Mail2Web, leave this as is.
- Go to the “File” menu and save the script as an “Script Bundle”. This Apple help page provides instructions on how to do this (link).
- Use the saved script to open Entourage
A few notes about syncing
First Sync
With everything now configured its time to test it out. The first time I got everything in sync i was left with 10’s of duplicates. Merge does work, but not very well. Be prepared for this. It is best to choose one database, say Address Book and consolidate all your contacts. You may find that you need to do this every time you add a new device (mobile phone, iPod) or sync source (Google Calendar, GMail). Once setup and cleaned up it should continue just to work in the background.
Useful Apps
Here is a list of useful apps to help you get the most out of your Windows Mobile device from OS X
- SyncTunes - SyncTunes is a great little program that copies iTunes playlists onto any removable disk drive. I use this in conjunction with a miniSD card reader to take music with me.
- WM5torage - This is a little app for your WM5 PocketPC or Smartphone that allows you to use it as a USB drive. Plug it into your computer and easily copy files back and forth without the need for ActiveSync. Why Microsoft didn’t include this functionality to begin with I will NEVER know.
- SpaningSync - This is a little app that looks very promising. When released, it will allow you to sync iCal.app to Google Calendar.
- Groupcal - This is a commercial application that allows you to connect iCal.app to Exchange Server calendars without Entorage.
- A to G - This tiny little app allows you to export all your Address Book contacts as a csv file and import them to GMail. Very useful as a one way sync to Gmail.

thanks! one problem. i have my contacts from my pocket pc into the web2mail page - but i can’t seem to get them into entourage or mac mail - how can i do that? i tried to follow instructions above but after entering the info into outlook. mac tries to check it and gets an error message on login…

The one small hickup with using entourage to login to mail2web is that you need to manually login via a web browser before logging on via entourage. This is because mail2web uses a different login method to that supported by entourage. There is a work around, see the section on “Entourage and Mail2Web” above.

I have still one problem with entourage. I have to run that script-bundle over and over again. Entourage shows that error-message about every 20 minutes. Am I doing anything wrong?

Your right about that, I had never come across that before as I don’t keep entourage open for a long time, just long enough to sync everything then I close it.
Given that I had another look at it tonight. I think I have a solution (or not as the case may be…). I still got the error but after a significantly longer time. I’m a bit out of ideas for the moment. Have an experiment with this and let me know how you go.
Open Script Editor and create a new script with only the following;
Rather than saving it as a “Script Bundle” save it as a normal script.
In entourage, goto Tools | Run Schedule | Edit Schedule and create new schedule. Under “When” add “Repeating Schedule” every 1 minute and “At Startup”. Under action add “Run Applescript”. Select the apple script you created above.
This should then run every minute and keep the connection alive. You can experiment with the frequency of the schedule, the slower the better.

i have given up on outlook. followed directions to sync address book as this is all i really care about and keep getting this message:
“Unable to access your .Mac user name or password. Please verify your .Mac member name and password in the .Mac preferences in System Preferences.”
i check this and my password is verified. still get same essage when i try to sync.

If you are using outlook for windows you need to upgrade to a premium service as it connects through a MAPI interface. Entourage 2004 for Mac uses OWA over WEB-DAV which is provided in the free service. I am using it everyday to sync my phone to our mac.
To setup Addressbook follow the instructions on this Apple site - link.
The error message you got about .Mac member name sounds a little strange to me. Make sure you are choosing “Syncronise with Exchange” under preferences in Addressbook and not “Syncronise my contacts with other computers using .Mac”.
Have another try. If you have problems, let me know what version of OS X, Addressbook and Entourage you are using. Good luck.

Hi
I am trying to use the script to so Entourage will stay connect to the exchange server that i have though mail2web. I copy and pasted it to the script editor and when ever i try and save it it come up this this error “Syntax Error, Expected expression but found unknow token”.
It would be great if I could get some advice as i am only new to script editor

Sorry our Internet is out at the moment. I just noticed that there is a slight problem with the script. I have fixed it in the post above. Try re-copying and pasting it into a fresh applescript file. This looks fantastic, I’ve been looking for this since a while. However, I get Error 170 when trying to sync with exchange. I sync exchange on my WM5 device over the web and have logged in with a browser (firefox). This error is not very well documented…

Ahh the irony! Vijia spent a bit of time in the Barrett lab at Melb Uni didn’t she? She may recognise my name! I’ve long since left there but didn’t expect to be finding anything like this when searching online for geek-stuff! You look familiar too, but you may just have one of those faces!
Anyway, nice little article you have here. I’ve held off on a PDA due to synching issues, but after having previously had one, it’s hard to go back to other methods of organising myself! the sticker for me is that it’s still not native - if i were to go down this road i’d probably just run up an Exchange box to use, myself (work in IT now, so this isn’t an issue anyway). I’m wondering what conduit updates there actually are to Entourage to facilitate ical integration (address book has long been able to sync to any LDAP server and it’s preference is for an Exchange box anyway)? I’d imagine if there was creative programmer out there they’d be able to patch together something a front end that would facilitate ical/address book direct to the PDA (given MS can do it to Entourage). In terms of your “1 minute script”, the issue really is mail2webs timeout security settings. If you wanted to get really creative you could try trapping events that access mail2web and force authentication on every one of these instead of every minute.
Anyway, interesting article - I’d be interested in any updates you may have to it and if you’ve found any better ways. Cheers!

Andre - I have no idea about that error message… Google didn’t know anything either… My suggestion is to delete everything from your exchange account, delete the Entourage settings. Then try getting entourage working with exchange without anything there.
Dave - Without actually being there, I think the error message you are getting is most probably the result of a typo. Make sure the double quotation marks are around your username and password. When finished, press the compile button. Script editor will then highlight the line with the error. If you post what is highlighted, we can go from there. Good luck and its doable!

Re the more geeky points you made they are also the reason that I didn’t want to install anything. For the moment (until I get my hands on a iPhone without selling our first 6 children) its the closest thing to native sync that I can find. Phone-Exchange Natively, Entourage-Exchange (MS-MS, although admittedly not completely, no tasks
) and then Entourage-iCal/Address Book via Sync Services (native to OS X).
The problem with the auth issue is that Entourage is setup to authenticate with exchange using a different authentication method to that used by mail2web. Why it can’t handle a simplier method I don’t know. I think it might be possible to write an applescript to force a sync periodically and logging in immediately prior to the sync but haven’t had time to look at it. If your bored

Hey James - I’m wondering if someone might be able to get creative using a crossover mac bottle with activesync… the other, less appetising, way of doing things i guess is using actually using Outlook for email in something like a Parallels coherence session - it’s just a fair bit of overhead on a system just for sync services. Don’t think i’ll be going iphone till at least second generation device. I’m running an xda orbit and see nothing the iphone could add to that (phone/WM5/radio/camera/GPS).
Let me know what else you’re working on - i’m currently just syncing to Windows. The irony of running XP in VMWare (Parallels doesn’t yet have the bluetooth stack working) for syncing contacts and calendar via bluetooth! Cheers.

I was getting the same error. I simply deleted the doublequotes and re-typed them the script saved without an error. I don’t know what went wrong in a simple cut and paste but this step worked for me.
I also had to remove the parenthesis as well as the single quote in the last line of the script to get it to work. So my finale script looks like:
property USERNAME : “XXX…XXX@mail2web.com”
property MY_PASSWORD : “XXXXXXX”
property SERVER : “https://exchange.mail2web.com/exchange”

Sanjiv - Well done. The problem was Wordpress was being clever and changing the quotes for pretty looking ones. I was lazy and should have done this a long time ago, but have uploaded a .scpt file that you can now download and modify yourself. This should minimise the chance for problems.
Justin (or anyone) - Here are a couple of ideas I have on how we can bypass Microsoft and get our sync working on OS X…
From my research there are a few opportunaties to bypass Entourage/ActiveSync.
The first is to use a different sync service, in this case Funambol. Funambol have built an open-source mobile sync platform (including PocketPC client, Server, Push Mail etc..) and provide a c++ library to interface to their servers. The challenge here is to combine this library with OS X SyncServices to create a “iPocketSync” native program
There is also a USD$2000 prize for getting this up and working let alone the every lasting gratitude of all PocketPC users!!!
The other option would be to put together a native OS X exchange connector. You could use the existing Evolution Exchange Connector libraries and put it together with SyncServices using Obj-C. There is also an option of doing this in Ruby (which should be easier??). There is a ruby exchange library “rExchange” and also a ruby SyncServices wrapper “Harmonize” or here that should make the job fairely easy.

James, Thanks a lot for this very helpful information. I’ve just bought a smartphone running Windows Mobile 6 and there currently seems to be no other way of synchronizing to a Mac. Also ‘Missing Sync’ is not supporting this OS yet. Your method works nicely on WM6!
For WM6 users, you can use James’ instructuctions above, but note that under ‘Step 2 - Setup ActiveSync’, you should fill in on your phone, for the mobile exchange server address ‘exchange.mail2web.com’, instead of ‘mobile.exchange.mail2web.com’ (if you use the mail2web service).

Hi,
I havn’t entourage but I want to syn My address book with mail2web.
I setup my AddressBook for syncing with mail2web but when I tray to sync I have this “iSync couldn’t connect to Exchane; Could not reach the server specified.”
Setting for AddressBook:
User name: myaccountname@mail2web.com
Password : mypass
OWA : http://exchange.mail2web.com
when I apply this setting OWA change to http://exchange.mail2web.com/exchange/wojo2000@mail2web.com ??

I got this too finally work, but it was not the same as above. I used the script and all the other directions but then Entourage was claiming a problem with the password. In that dialogue I had to change domain to “ad2″

Guys, I try everythin all combinations, and still nothing, so only what I can do Is sync My adress book using Entourage
and one calendar

Next week a try something else, server ZIMBRA it’s very similar to Exchange but for free, and Zibra has a connector for MacOs and Windows Mobile…

Now a bouple of days later I sync again and my home Mac address bood is completely empty.
Any idea what I did wrong or how to get it back?

I tried Zimbra, works like a charm with iCal, Addressbook and my WM6-based TyTN. Costs money though, as you need the Zimbra Network Edition. I setup a zimbra-account with http://www.simplyms.com, close to 10$ monthly.

I had stumbled on mail2web recently with similar intentions.. however I found that repeating appts did not sync, nor did the exceptions to the repeating appts.
I also had a 4-day all-day appt that did not show up on mail2web.
So its free.. but didn’t seem stable enough for me.

Hi! Thanks a lot for this setup. It worked for the first time and synced all the old events, but now I can not get the Entourage calender to sync with the exchange-calender… Putting events in the exchangecalender works fine, booth from the PPC, website and from Entourage. Setup with Entourage pref->sync calender with exchange is set etc.
Any idea? If i set new events directly in the exchange-calender it would not sync to iCal or Entourages native calender. Hmm.. Thanks for any help!

I already have ad2 entered as my domain and re-entered it in the hope it would maybe work but I’m still getting errors.

i am using entourage and an email account provided by my school. I am trying to connect my treo 750, my treo will get the arrows in the top right saying its trying to sync but nothing ever happens. do i need to click something on entrourage to make it work? Also is there a way to transfer mp3’s?

I am having trouble syncing my mac address book with mail2web. I was able to sync contacts from my Windows Media phone to mail2web. Then I set up all the preferences correctly in Address Book and iSync, clicked sync now…and then nothing. None of the addresses appear on my phone or in my mail2web account. What’s wrong? Thanks.

Hey James, Been syncing my WMD with my PC and then exporting them to my Mac and vice versa. Till i found your site and 1st time i did it, everything works perfectly.

humm.. i have a t-mobile dash and its for windows, but i have a mac. everytime i connect it to da computer notin happens. do you hvae any idea what i have to do.

This isn’t exactly the same, but google also has a free active exchange. So when I was unable to connect my phone to my pc and mac. I found out that I could configure my phone activesync program to update from my google account. The directions are on their website.
So I transferred my old contacts from my old phone (which worked with activesync no problem) into outlook, sync’d with google, then sync’d google with my new phone (which wouldn’t sync with my computers).
